THE FOLLOWING ARE GUIDELINES AND POLICIES FOR ALL PRODUCERS AND THEIR ASSIGNS INSTITUTED BY FREMONT STUDIOS WITH RESPECT TO SPECIAL PRODUCTIONS,  OUTSIDE OF NORMAL STUDIO OPERATION, REQUIRING GENERAL PUBLIC AND PRIVATE AUDIENCES AT THE FREMONT STUDIO FACILITY.

 

NO THIRD PARTY AV RENTAL OR TECHNICAL PRODUCTION SERVICES  ALLOWED ON SITE. FREMONT STUDIOS MAINTAINS FULL OPERATION OF STUDIO FACILITIES

AND IT'S SUB-CONTRACTORS AND EQUIPMENT.

 

PRODUCTION:

  1. If client does not have a Production Manager, one will be assigned billable to client.

  2. Facility basic operations labor, electrical, rigging and studio manager is billable to client on a hourly/daily bases and is not included in studio facility rental rate. (See rates below)

  3. No subcontracted venders of any kind without studio management approval.

  4. Studio management is responsible for the following tasks.

  • Submission of appropriate paper work requesting City of Seattle Police and Fire Department support during production.

  • Coordination and submission of production related requests to Seattle Mayor's Office of Film & Music.

  • Liaison with City of Seattle Sanitation Department contractor or Fremont Studios independent outdoor cleaning contractor for surrounding area sanitation support. All billable to client.

Client required to submit request for any of these services at least 30 days prior to event.

  1. Space restrictions prevent Fremont Studios from housing equipment, unless a prior arrangement has been made. All materials related to production must be removed by 10am following final production day.

  2. Production designers must submit decor & floor plans to studio management for Fire Marshal approval. (30 days min, subject to $300 penalty)

  3. Overhead rigging must be approved or preformed by Fremont Studios Key Grip/Rigger.

  4. Electrical connections must be approved or preformed by Fremont Studios Gaffer/Electrician.

  5. Unauthorized professional taping (video/film, audio, photographic) is strictly prohibited without licensing authorization of Fremont Studios. Point and shoot cell phones and non-professional cameras may be used at the discretion of the client-artist.

PUBLIC TICKET SALES:

    • Fremont Studios manages all public box office sales,  produces all tickets, will not exceed house limitations, and conforms to all city of Seattle taxes.
    • Fremont Studios contracts with Tickets West for all ticket management and takes 48 hours to "build" a show after ticket information is submitted.
    • While sponsorship credit is permissible on tickets, space and number of sponsors is subject to limitations of Tickets West print guidelines.
    • All ticket "pull" requests must be submitted in writing prior to event.
    • Pulled tickets can be returned to box office up until 12 noon, one day before event. Returned tickets will not be accepted on the day of the event.
    • With the exception of box office sales, tickets cannot be sold on Fremont Studios property: i.e., in front of the entry doors.
    • All pulled tickets are subject to a two-dollar facility fee. Facility fee will be deducted from client's final settlement.

PUBLICITY:

  1. All press arrangements must be coordinated with Fremont Studios Public Relations manager. Please fax a press list of approved and/or confirmed media to Public Relations at least 24 hours prior to production.

  2. Appropriate designation of all contact numbers of representatives to work with press during production must be coordinated with Fremont Studios PR. Please fax or email a list of confirmed personnel to PR manager and Security at least 24 hours prior to production.

  3. Opportunities for artist/celebrity signings and placement of promotional signage must be coordinated with Marketing and Promotions Manager, Studio Management and Security at least 24 hours in advance.

ADVERTISING-MARKETING (Public and Private)

  1. Name reference in print material of any kind, the studio facility will be named, "Fremont Studios". (Please note the proper spelling of Fremont only has one E.) When possible please use logo provided below. Larger logo artwork files are available per your request.
  2. For specific event advertising and marketing, a final draft of text for promotional material must be approved by studio management/PR prior to printing. Please email for fast approval.
  3. NO promotion of outside projects/events/productions are permitted of any kind during production or on studio property. (i.e. palm cards)

  4. All promotional material must include the following

  • Title of production

  • Day of week, month, date & time, (i.e.: Saturday, June1, 2006 8PM)

  • Fremont Studios Name/Logo

  • FS Color Bar

  • 155 N. 35th Street (corner of 35th & Phinney in Fremont), Seattle Washington

  • Ticket Price (with the $1 facility charge included)

  • TicketsWest Logo

  • Fremont Studios web address http://www.fremontstudios.com

SPONSORSHIP/ADVERTISING

  1. Use of Fremont Studios brand is subject to limitation as defined by client contract. Additional requests for use of Fremont Studios name, logo, building exterior/interior photography/recording requires prior licensing authorization. Submit all requests to Fremont Studios management.

  2. Prior to printing, final draft of all promotional copy referencing Fremont Studios, must be approved by Fremont Studios Public Relations Manager.

  3. All promotional materials must include:

  • Title of production

  • Day of week, month, date & time, (i.e.: Saturday, June1, 2006 8PM)

  • Fremont Studios Name/Logo

  • FS Color Bar

  1. Sponsorship signage is permissible on stage, mounted on easels or used as draping for sign-in tables. Freestanding floor or table displays are also permitted. Signage must not block fire exits or entry access. No signage is to be hung on walls or VIP rooms without studio management approval. Please ensure that all signage is placed at least two hour to opening of house.  ABSOLUTELY NO TAPE ON WALLS OR FLOORS 

  2. Production/sponsorship signage is limited to the day of production and subject to space availability in entrance area only. Please pre-approve with Fremont Studio Management. All signage is to be hung in or about Fremont Studios on day of production only.

  3. On stage Sponsorship acknowledgement is permitted with prior notice to Fremont Studios Technical Manager. Client must notify front of house staff prior to production if audience members will be invited up onto stage during production.

PARKING INFORMATION

 

Fremont Studios has limited on-site official parking. The studio official lot is directly across the street from the front entrance, lot A, U-Park #75-42 stalls, and on the east end of the studio facility property lot B with 30 stalls, totaling 72. There is also ample street parking throughout Fremont all walking distance from the venue. 

 

 

Designated special event parking lots for an additional 1000 cars are located within the Fremont Business district. These designated public lots are available at $5 per car for event parking and are available for buy outs. Fremont Studios provides, as a billable item,  parking lot shuttle service between designated lots C, D, E & F located 4 minutes from the studio facility. This shuttle service is mandatory for attendance larger that 500 and recommended for events above 200. Shuttle service is billed at $200 per hour, per shuttle, 4 hour minimum, 2 shuttles minimum are required for this service. 

 

Per production request this shuttle service is also available to and from the downtown hotel district. Shuttles sizes are 27, 36, 47, 56 passengers units.

 

Private bus parking and power is available with advance notice. Semi truck parking is available away from facility loading docks with advance notice.

 

OUTSIDE MERCHANDISE/CONCESSION/CATERING:

 

Fremont Studios/White Linen Catering maintains sole authority over concession food and beverage sales and products sold on the premises during public productions. Any request for change in products sold must be made at least two weeks prior to the production. If client requests free sampling or a discount on a "to the public" concession item, Fremont Studios must be compensated for the resulting lost income. 

  1. All private production catering is exclusively by Fremont Studios White Linen Catering, or preferred caterers listed on our catering services page. Sorry, NO Buy-Outs. Please see Catering Services on this web-site for contact information.

  2. Free distribution of alcohol products is not permitted by Washington State Liquor control laws. All alcohol on the premises, dressing rooms, backstage, etc. must be approved or purchased from White Linen Catering/Fremont Studios. 

  3. All outside merchandise vendors are subject to a 15% - 20% concession fee. Exceptions to this rule may be granted based on the nature of the event.

  4. All arrangements for client merchandise sales must be made with Fremont Studios management prior to production date.

  5. All venders must arrive at least one hour to opening to public. If not, admittance will lie solely at the discretion of Fremont Studios Management.

 

GENERAL  RATES 

Rates may vary based  on overall attendance size and type of production. Facility rates below do not include labor of any kind. 

  • Sound Stage A  $5000 per day (12 hours) $7500 with performance stage. 

  • Stage B $2500 per day. (When used for public assembly and display.)

  • Village $2500 per day. (When used for public assembly and display.)

  • All spaces are 1/2 price for first load-in setup day and first load-out day.

  • 50% deposit is required at the above rates to confirm and hold production dates with balance due at opening. Additional expenses for categories below will be billed at 50% seven calendar days before production with total due at door opening.

  • Labor rates are billed by the hour based on a 10 hour day at industry standard plus 21% for Accounting Services, Federal & State Payroll Taxes including Washington State Labor and Industries Insurance.

Additional expenses apply for:

  • Dedicated Event Studio Service Manager to coordinate all internal facilities and labor.

  • Admissions staffing (ushers, ticket takers, guards) depending on production parameters.

  • Stage & Studio lighting labor and equipment.

  • Sound labor and equipment.

  • Video Projection labor and equipment.

  • Video Production labor and equipment.

  • Still Photography.

  • Forklift-Manlift equipment rental.

  • Electrical power facilities.

  • Tables, Chairs and Tablecloths.

  • Studio Painting and Re-Painting

  • Parking Passes. (lot #75)

  • Catering (Contact directly White Linen Catering. (See contact information on Catering page for additional caterers.) 

  • (Janitorial) Facility cleaning and restroom servicing (interior and exterior) may include area re-painting.

  • Refundable damage deposit may be required seven days in advance to production date.

Total costs for staffing, equipment and services vary by production, please contact Fremont Studios Representative about requirements and estimates for your production.

 

INSURANCE:

 

Two million dollars insurance liability and Workmen's Compensation, naming inFremont L.L.C. dba Fremont Studios as co-insured is required. The insurance can be emailed or faxed from broker, but an original must be present to insure event.
